Position Overview:
We are seeking a highly organized and personable Office Receptionist to manage front-desk operations and provide essential support to our team. In this role, you will be the face of Razorback LLC, ensuring smooth communication, a welcoming environment for visitors, and timely execution of administrative tasks. You will maintain a consistent and reliable presence at the front desk, serving as a key point of connection between employees, clients, vendors, and subcontractors. This position is primarily based at the front desk and requires the ability to remain stationed and attentive for extended periods of time to ensure uninterrupted coverage. Your professionalism, attention to detail, and ability to multitask will help us maintain a high standard of service, responsiveness, and efficiency as we continue to grow in the competitive construction industry.


ESSENTIAL DUTIES AND RESPONSIBILITIES
Front Desk & Office Operations:
  • Greet visitors warmly, ensure all guests are acknowledged promptly, and maintain a clean, organized, and professional front office environment.
  • Maintain a consistent physical presence at the front desk, ensuring continuous coverage and availability during business hours.
  • Answer and manage incoming phone calls with professionalism, accurately transfer calls, and take detailed messages when needed.
  • Check and distribute voicemails daily in a timely manner and ensure clear communication to the appropriate staff.
  • Coordinate consistent front desk and phone coverage during breaks, time off, and company events to ensure uninterrupted operations.
  • Sort, log, and distribute incoming mail and packages daily; ensure outgoing mail is prepared, tracked, and sent out each day with accuracy while maintaining detailed and accurate logs for all mail, packages, and messages to ensure accountability and organization.
  • Keep kitchen and office supply areas stocked, organized, and presentable at all times.

Administrative & Communication Support:
  • Provide timely and accurate administrative support to internal teams, helping facilitate communication between staff, vendors, and subcontractors.
  • Maintain awareness of company operations and active projects to appropriately route calls and inquiries.
  • Handle sensitive information with discretion while maintaining strict confidentiality and professionalism.
     
Company Culture & Engagement:
  • Create and distribute a monthly newsletter highlighting company updates, projects, and employee recognition.
  • Assist in planning and coordinating monthly lunches, birthday celebrations, and office events to strengthen company culture.
  • Maintain employee birthday tracking and coordinate monthly recognition.

Requirements
  • 2+ years of reception or office support experience, preferably in a fast-paced or construction-related environment.
  • Strong organizational and multitasking skills with a high level of attention to detail and accuracy.
  • Excellent communication and interpersonal skills with a professional, friendly, and service-oriented demeanor.
  • Ability to manage multiple priorities while maintaining responsiveness and a consistent front desk presence.
  • Ability to remain stationed at the front desk for extended periods while maintaining attentiveness and professionalism.
  • Ability to manage sensitive information with discretion and maintain confidentiality.  A proactive, adaptable mindset with the ability to remain calm and resourceful in a fast-paced environment.
  • Familiarity with SharePoint, Canva or similar platforms is a plus.
